Fourteen states require employers to provide terminating employees with a separation notice. The fourteen states are: Arizona, California, Connecticut, Georgia, Illinois, Iowa, Louisiana, Massachusetts, Michigan, Nevada, New Jersey, New York, Pennsylvania, and Tennessee.
A State-Specific Separation Notice will be automatically created when you terminate an employee in one of the applicable states. The notice will be available in the Employee Documents in Document Cloud shortly after you complete the Termination Wizard in ADP TotalSource (Workforce Now). The client administrator who entered the termination will receive an email notification when the State-Specific Notice is available to retrieve and print. When the separation notice is generated, it will be automatically saved to the Employee Documents in Document Cloud in the following category and sub category:
- Category: Personnel File
- Sub Category: State-Specific Forms
When you have located the separation notice file, print the document and give it to the terminating employee immediately. For employees being terminated in Iowa, there are special instructions for you to follow.
Here’s how to locate the separation notice for your terminating employee:
Navigation Path: People > Employment > Employee Documents
Please note: It may take up to two hours for the notice to appear in Document Cloud. For employees who are being terminated with a future date of termination, the separation notice will be generated on the date of termination.
Click on the name of the document “Separation Notice” to open/view the notice that was generated.
The email notification sent to the client administrator who keyed in the termination of the employee will have a Subject line of: Name of State Separation Notice for Name of Employee – Immediate Action Required”.
The body of the email sent will include the path to find the Separation Notice on the employee’s record in ADP TotalSource (Workforce Now).
